General
· To uphold Medair values and to contribute to the well being of the team as an active member (e.g. participating in the spiritual activities such as intercession, Bible study, devotional time, etc.).
· To act as central administrative support to the Swiss Department Manager and for the Medair Invest in Aid Foundation.
· To act as office administrative coordinator within the Swiss Team in Ecublens and in Bern.
· External contact activities will be in German and French, English will be used for internal contact and communication.
Administrative tasks and coordination
· To support the Swiss Dept Manager and the Medair Invest in Aid Secretary in all administrative tasks as requested (typing letters, setting appointments, filing, archiving, etc).
· To keep track of invoices and supporting documents and to ensure coding related to activities as per budget.
· To ensure that all processes and procedures are adequately documented and stored in the Medair e-library.
· To regularly update the Medair Swiss website as instructed by the manager.
· To ensure the contact and follow-up and communication with the finance department for invoice matters.
· To keep track and coordinate staff holidays and recuperation days.
· To keep administrative relations with Swiss institutional organisations and follow up on memberships, their events, legal requirements, reports, etc.
Donor relations
· To ensure administrative contact with donors as requested by the manager.
· To support the manager in the editing and production of proposals to foundations. |
