Project Overview
 

Medair is looking for (preferably) one person at 100% (or two people at 50%) to perform two 50% administrative support roles:


Administrative Officer (50%) +


Coordinator, Medair Invest in Aid Foundation (50%)


Medair HQ provides operational guidance for country programmes and activities, along with both technical and compassionate support for our relief workers. HQ staff also promote the work of Medair to the world and raise and manage the funds needed to run our life-saving and sustaining programmes. 



Medair Invest in Aid Foundation (MIAF) was created to ensure a growing and lasting financial support to the activity of Medair. The foundation’s goals are to provide a complementary and additional fundraising tool, attractive to existing or potential major donors, foundations and private companies, motivating them to make longer term commitments to giving to support Medair, as well as to individuals wishing to make a legacy for the benefit of Medair (through this Foundation).

Main Responsibilities
 

To act as full administrative support to the Swiss Department Manager. Fulfilling all administrative tasks related to the Swiss Departments’ ongoing fundraising, communication and recruitment activities, as requested by the Manager.



To organise, manage and develop the Medair Invest in Aid Foundation. To inform and support Medair Invest in Aid Council members. To closely and actively collaborate with Medair (HQ) teams.

Key Activity Areas
 

General


·         To uphold Medair values and to contribute to the well being of the team as an active member (e.g. participating in the spiritual activities such as intercession, Bible study, devotional time, etc.).


·         To act as central administrative support to the Swiss Department Manager and for the Medair Invest in Aid Foundation.


·         To act as office administrative coordinator within the Swiss Team in Ecublens and in Bern.


·         External contact activities will be in German and French, English will be used for internal contact and communication.


Administrative tasks and coordination


·         To support the Swiss Dept Manager and the Medair Invest in Aid Secretary in all administrative tasks as requested (typing letters, setting appointments, filing, archiving, etc).


·         To keep track of invoices and supporting documents and to ensure coding related to activities as per budget.


·         To ensure that all processes and procedures are adequately documented and stored in the Medair e-library.


·         To regularly update the Medair Swiss website as instructed by the manager.


·         To ensure the contact and follow-up and communication with the finance department for invoice matters.


·         To keep track and coordinate staff holidays and recuperation days.


·         To keep administrative relations with Swiss institutional organisations and follow up on memberships, their events, legal requirements, reports, etc.


Donor relations


·         To ensure administrative contact with donors as requested by the manager.


·         To support the manager in the editing and production of proposals to foundations.

 
Qualifications
 

·         Administrative qualification and particularly experience in client relations

Experience
 

·         Minimum of 2 years of experience in administrative work in Switzerland

Specific Skills and Attributes
 

·         Strong German, English and French communication skills (oral and written)


·         At ease in verbal communication, organised, good writing skills, interpersonal skills, knowledge of office administration


·         Autonomous, pro-active, interested in Medair activities, interested in managing a foundation


·         At ease in contact with different kind of people (donors, suppliers, foundations, etc.)

Special Working Conditions
 

·         Swiss or EU citizens, or those with a valid work permit for Switzerland, are eligible to apply


·         Mainly office work, though possibly meetings outside the office.
